CRMs

Dubsado was founded by a husband and wife team who wanted to create a database that connected multiple systems into one platform. We absolutely love this program! Dubsado is perfect for the small-business owner and entrepreneur. With one login, you can create, send and sign contracts. You can manage your clients and projects. Accounting is a breeze with customizable invoicing and bookkeeping. The features are fabulous and the platform is the most user-friendly we’ve ever seen, and all for just $35 monthly!

Nimble is an excellent database for anyone who is new to customer relationship managers. It’s well-organized and intuitive, especially when it comes to your prospects. Nimble has a unique approach to business relationships, connecting you with your future clients on every level, including through social media accounts. Integrations with Google and Office 365 allow you to track conversations. Built-in task managers ensure you’ll never miss an important call or meeting. Nimble will even automatically update your sales pipeline as you progress through the deal. It starts at just $19 per user monthly. That’s a deal we can get behind!

Workspaces

Asana is a dream come true for any team! Its visual interface makes it easy to keep track of projects, deadlines, and daily tasks. You can organize documents, create timelines, and view your team’s progress all within a clean, beautiful workspace. With over 100 integrations available, connecting and collaborating with your employees has never been so simple. Pricing varies, but there is a free version available!

Virtual Phone Programs

Incoming and outgoing calls can be difficult to manage, especially for a virtual phone support company like VIP. We rely on two programs to keep our phone lines in order: Line2 and RingCentral. Both offer similar features including: cloud-based calling capabilities, line forwarding, custom voicemails, texting services, and business phone numbers. The only difference between the two, aside from pricing, is that RingCentral is HIPPA-compliant. Check them both out today! Line 2 starts at $8.30 per month while RingCentral’s prices are on a sliding scale.

Acuity simplifies the booking process. You can manage your calendars and availability, and set up various appointment types. Using your customized links, you can invite customers to book appointments with you, and set up automatic reminders and thank you emails. Acuity even offers features like coupon codes and gift certificates! It’s free to sign up and plans are available based on the needs of your business.

Need to send email newsletters in a hurry? Mailchimp and Constant Contact are drag and drop editors that are ridiculously easy to use. They offer tons of pre-designed templates, or you can create vibrant emails using your brand colors and logos, and save them as templates to use later. You can embed photos and video links in the body of the email for a more interactive experience. Both programs will manage your subscribers by sending out automated emails, and informing you when someone joins your list or unsubscribes. You can even segment and tag your lists for even more targeted marketing. It offers all of the same features as other newsletter programs, but with a basic CRM built in. Active Campaign also has SMS texting and website messaging capabilities, allowing you to further engage with your audience. They base their price on a sliding scale, which is determined by your business and audience size.

Landing Pages

ClickFunnels is a virtual sales funnel creator. Here, you can easily design and post a page that will drive visitors towards your specific goal. These may include selling products or services, gathering newsletter subscribers, or advertising an event or webinar. Create order forms, upsell to your customers, and manage multiple products all from your dashboard. You can even set up automated emails to follow up with and thank your customers. ClickFunnels is fully customizable and uses a drag-and-drop interface, making it the perfect way to generate leads and drive traffic towards your business. Try their 14-day trial today!

Email CleanUp

SaneBox is a powerful app that helps you to manage and organize your inbox. It will sort through and declutter your inbox automatically, eliminating hours of manual cleanup time. It also offers features like one-click unsubscribe and spam filters. If you’re in the middle of a project, you can snooze incoming emails and be notified at a later time, and you can track emails to see who hasn’t responded. It’s easy and inexpensive at as little as $7 per month. This is a must-have for anyone who struggles with productivity.

Social Media

If you’re like most business owners, you understand the value of an engaging presence on social media but don’t have the time to post to every profile. That’s where Hootsuite comes in. Hootsuite is a social media scheduler that connects all of your profiles in one central location. Using their simple editor, can craft your content and post it to all of your pages with a single click. Hootsuite supports multimedia attachments as well as external links. You can also schedule future posts using their calendar feature. Hootsuite has a free option that supports up to three social media accounts and 30 scheduled posts. You’ll need to upgrade to connect more.

Website Hosting

Whenever a client asks us about how to build a website, we almost always recommend WordPress, a powerful and secure all-in-one website service. WordPress is completely customizable based on your business needs. Features include built-in SEO tools, domain hosting, social sharing capabilities, drag-and-drop editing, and tons of integrations. Plans start at $3/month for basic bloggers, and $8/month for business owners.

Video Conferencing

Zoom has revolutionized video conference calls. We use Zoom for all of our client and team meetings, and we cannot sing its praises enough! It takes just minutes to set up a meeting or a webinar and invite guests. Participants can join online or over the phone. Zoom allows guests to share their computer screens, record and download their video calls, and even chat with one another. Zoom’s free plan has unlimited hours for up to 2 people. Their paid plans start at just $15/month.

Graphic Design

Amateur graphic designers can make gorgeous graphics and flyers without Photoshop, thanks to Canva. This web-based program allows you to create documents, social media graphics, photos, business cards, banners and more, all from it’s simple-to-use platform. They have hundreds of fonts and photos, shapes, colors, and pre-made templates for your designing pleasure. Download your creations in the format you choose or invite collaborators to critique and edit your work. Canva is free but also offers paid plans with more features.

Texting

Mass texting can be a hassle from your smartphone. Simplify the process with Skipio, a texting platform that is changing how people conduct business. From Skipio’s dashboard, you can send texts to individuals or groups, schedule future texts, and save messages for future use. You can customize your text message with the recipient’s name, emojis, or event document and photo attachments. Skipio also allows you to create texting campaigns, set up short codes, and even gather RSVPs to events. Skipio starts at $39/month.

Mailings

Who says mail is outdated? Greeting cards provide a personal touch that just can’t be conveyed over an email or a text message. SendOutCards eliminates the hassle of purchasing cards and postage, and taking a trip to the post office. They will send your greeting cards for you! All you have to do is choose or design your card, write your message, and click send. They will take care of the rest. They have hundreds of beautiful cards to choose from and for every occasion imaginable. They have a basic plan. You can upgrade to a paid plan and unlock even more fabulous features!

Online Classes

We love teaching our clients all about the latest business tools and technology trends. Teachable makes this happen! With Teachable, you can create and sell your own classes online, and in various formats from pre-recorded multimedia lectures to live webinars. You can create tests, discussion boards, and completion certificates all from your dashboard. Accounting

We use Xero for all of our business accounting needs. It’s geared specifically towards small business. They truly understand the needs of entrepreneurs. Xero is more intuitive than traditional accounting program. You can collaborate with teams, customize your dashboard, and automate the billing process. It’s the ideal choice for those who are not as experienced with bookkeeping, and it makes managing the numbers a breeze. Plans range from $9 to $60 per month.

Timekeeping

Toggl is arguably the best timekeeping tool on the market. Whether you use it for personal accountability or so you can properly bill your clients, Toggl will keep you on track. With just the click of a button, you can start and stop your timer. You can run custom reports by day, week, month or year, or view a breakdown of how you spent your time. Toggl starts at just $9 monthly.
